Automatic WhatsApp messages
The fee reminder goes out 3 days before the due date, on its own.
Set the rule once and the system does the rest: when a fee is coming up, on the due date, when it is overdue, when a payment comes in, when an athlete misses training, after repeated absences, with event reminders and when a new member registers. You write the text in your own template; the parent's name, athlete's name, amount and due date fill in automatically. Narrow rules down by team and add more than one rule for the same event.
Messages go from your academy's own number over the official WhatsApp Business infrastructure. Your number stays in the WhatsApp Business app on your phone and parents' replies come to you; there is no shared sender number.
Attendance
Attendance is taken at the pitch, and the absent athlete's parent knows.
The coach marks it on the phone: present, absent, late, excused. The parent of an absent or late athlete gets a notification; once attendance is completed, the parent of an unexcused absentee can also get a WhatsApp message. Attendance rate and the monthly breakdown build up on the athlete card and on the parent's screen by themselves.
No paper list, no month-end counting. Parents see the answer on their own screen before they have to ask “was my child coming?”.
Fee tracking
Who paid and who didn't — without opening a spreadsheet.
Fees are created automatically from each athlete's package. You set separate reminders before the due date, on the due date and after it; the moment you record a payment, the parent is informed. Every payment goes into the cash book and the athlete's account, and parents see their balance and payment history in their own app.
Fee messages are not sent between 22:00 and 08:30 in your academy's local time; the push notification and WhatsApp message for a payment recorded at night wait until morning.
Event notifications
No more “Coach, is there training today?”.
You choose how far ahead the reminder goes out on the event itself: 30 minutes, 2 hours, 1 day. For recurring training it goes out for every session; parents mark whether their child is coming and the coach sees who will be there in advance. Turn on WhatsApp in the automation and the reminder also reaches parents who haven't installed the app.
If one day of training is cancelled or its start time changes, parents and coaches get an in-app notification and a push notification.
Match tracking
On the parent's calendar the moment the match is scheduled.
As soon as you save a match, it appears on the parent's calendar: date, time, venue and a map link. Parents see the squad, score, goals, cards and match videos, and follow their child's match history with minutes, goals and assists on their own screen.
No separate notification is sent when a match is added; if you turn on the reminder for the match, parents get a reminder before it.
Development tracking
The answer to “is my child improving?” is on the parent's phone.
When a coach enters a new assessment, the parent gets a notification. Parents see assessment scores and how they change over time, the attendance rate, height and weight measurements and the notes the coach shares, and can download and share the development card as an image.
Parents only see their own child's data; coach notes are visible only when marked to be shared with the parent.

- Which sports does it support?
- Football, basketball, volleyball, handball, futsal, gymnastics, indoor sports (pilates, yoga, reformer), swimming, canoeing, archery, fitness, American football, rugby, ice hockey, water polo and field hockey. The position list and the training pitch follow the sport you pick; templates can be customised for special projects, sports schools first and foremost.
- Is there a mobile app?
- Yes. Web and mobile come together: the iPhone app is on the App Store and the Android app is downloaded from our website. Managers, coaches and parents use the same app with their own permissions; reminders and notifications reach the parent's phone instantly.
- Can I bring my existing athlete list over?
- Yes. Fill in the ready-made spreadsheet template and import the whole list at once. A preview screen shows you the faulty rows before anything is saved.
- What can parents see, and what can't they?
- A parent only sees their own child: calendar, attendance, reviews, nutrition plan and payment history. They cannot reach another athlete's record and cannot change anything.
- How is personal data protected?
- The privacy notice and explicit consent are recorded at sign-up, stamped with the version and the date. Uploaded documents are stored encrypted on the server and only authorised roles can open them.
- How do I get started?
- You fill in the demo form on this page and we get in touch. We go through your academy together and open your account, and the first 30 days are free. We don't ask for card details.
- Can parents get an automatic reminder 2 hours before training?
- Yes. When you add a training or match to the calendar, turn on “Send notification before the event” and enter the time in minutes: 120 minutes means 2 hours, 1440 minutes means 1 day before. The reminder goes to the parents of participating athletes and to the responsible coaches as an app notification, and works for every session of recurring training. If you turn on WhatsApp in the “When an event reminder is sent” automation rule, the same reminder also reaches the parent's WhatsApp, even if they have not installed the app.
- Can I set separate automatic messages before the due date, on the due date and after it?
- Yes. The “When a fee is due soon” rule runs 0 to 25 days before the due date, and the “When a fee is overdue” rule runs on the due date or up to 30 days after it. You can add up to 10 rules per trigger, for example three separate messages 3 days before, on the due date and on the 7th day overdue. Each rule turns app notifications and WhatsApp on separately and can be narrowed by team and athlete status. Fee messages are not sent between 22:00 and 08:30 academy local time, and a WhatsApp reminder that falls on a Sunday goes out on Saturday.
- Do parents get an automatic message when they pay?
- Yes. As soon as you record the payment, the “When a fee is collected” and “When a payment is received” rules run: the parent gets an app notification and, if you turned it on in the rule, a WhatsApp message. For payments recorded between 22:00 and 08:30, the phone notification and WhatsApp message are held until 08:30.
- Which number are WhatsApp messages sent from?
- From your academy's own WhatsApp number, over the official WhatsApp Business infrastructure. Your number stays in the WhatsApp Business app on your phone; parents get the message from a number they know and their replies come straight to the academy. No shared sender number is used across academies. WhatsApp's own messaging fees are billed directly by Meta according to its pricing. WhatsApp is off by default in every rule; no WhatsApp message goes to parents until you turn it on.
- Are parents told if training is cancelled or its time changes?
- Yes. When one day of a recurring training is cancelled, or the start time of a training or match is changed, the parents of participating athletes, the coaches and assigned staff get an app notification and a phone notification. No reminder is sent for the cancelled day. Changing the title, notes or colour does not send a notification.
- Where do parents follow their child's matches and development?
- In their own app, with the same account on iPhone, Android and the web. A match saved to the calendar appears in the parent's calendar; parents see the squad, score, goals, cards, match videos and their child's match history with minutes, goals and assists. On the development side, assessment scores and history, attendance rate, height and weight measurements, notes shared by the coach and the nutrition plan are in one place, and a notification arrives when a new assessment is entered.
